    The Bronze Quill Awards program recognizes communications excellence in British Columbia.  To celebrate the award winners a gala event will be held in Spring 2011, to honour recipients and celebrate their achievements in front of colleagues and industry peers.

    The President’s Award winners for Volunteer of the Year and Outstanding New Volunteer, as well as the Student Communicator of the Year award are also recognized at this event.

    The Professional Development & Events (PD) team is seeking to fill a number of key volunteer roles to form a Bronze Quill sub-committee responsible for all aspects of planning, managing and executing the Gala event.

    Role and responsibilities

    • Liaise with the Professional Standards, Student Services and Volunteer Services committee to receive award lists, and ensure the recipient trophies and/or recognition pieces are created accordingly
    • Work closely with the Marketing Coordinator to ensure all award recipients are recognized in the collateral pieces, including proofreading and approvals
    • Work closely with the Event Manager and Assistant on the Event Script / Flow to correctly award and recognize each of the award winners
    • Primary contact and liaison night of the event to ensure the photographer captures the award recipients – and nominees

    Junior to Intermediate Communicator

    Time commitment

    • Project planning will begin in February 2012
    • Four month project; 10-15 hours per month (estimated)
    • Required to attend the event (early June 2012)

    • Manage the direct relationship with these suppliers and the venue, etc
    • Supports the Event Manager in reporting and committee meetings, including taking minutes and sharing with the group
    • Attends PD & Events meetings where Event Manager is unable
    • Write drafts of key event materials including workback, event script, event plan, etc.

    • Brainstorm and create a targeted list of sponsors to approach for both cash and in-kind
    • Assist sponsorship committee with outreach, where applicable
    • Manage sponsor activation and ensure agreements are honoured, including logo placement in collateral, recognition at event, etc.
    • Coordinate shipment and delivery of sponsor materials to/from event

    • Work with the agency to develop the awards presentation to be shown at the Gala event
    • Work with event photographer pre and during event, including developing photo shot list
    • Work with Marcom on the development, approvals and printing of collateral materials

    • Oversees all aspects of the event including venue selection, catering, event script/flow, sponsorship, marketing and collateral production, and promotions/publicity
    • Manages and directs the Bronze Quill sub-committee, consisting of 5-6 volunteers
    • Manages the event budget, with support from PD directors
    • Provides regular update reports on the event to the PD directors
    • Attends monthly PD & Events volunteer meetings to report on progress for the event, and potential to attend Board meetings


    Who we’re looking for

    Intermediate to Senior Communicator

    Time commitment

    • Project planning will begin in February 2012
    • Four month project; 15-20 hours per month (estimated)
    • Required to attend the event (early June 2011)
